This Privacy Policy describes how we collect, use, and protect your information when you use the QuizMasterSync mobile application (iOS and Android), the QuizMasterWeb website, and related services (together, the "Services"). It is intended to meet the disclosure requirements of the Apple App Store and Google Play, and to comply with applicable data protection law, including the GDPR where it applies. We encourage you to read it carefully.

1. Data controller

2. Data we collect

We collect only the data necessary to provide and improve the Services. We apply data minimisation: we do not collect or retain more than is needed for the purposes described below.

2.1 Data from the QuizMasterWeb website

The following applies when you use our website (QuizMasterWeb):

  • Contact form: When you submit the contact form, we collect your name, email address, and message. We use this only to respond to your enquiry.
  • Cookie and consent preference: If you use the cookie consent banner, we store your choice (accept or reject) so we do not need to ask again on each visit. This may be stored in a cookie or similar local storage.
  • Analytics (only if you consent): If you accept analytics cookies, we may use a service such as Google Analytics to collect anonymised usage data (e.g. pages visited, device type) to improve the website. We do not use analytics unless you have consented.

We do not use website data to track you across other apps or websites for advertising purposes.

2.2 Data from the QuizMasterSync mobile app

The following applies when you use the QuizMasterSync mobile app (iOS or Android):

  • Display name and leaderboard data: You choose a display name that is shown on leaderboards. Your scores, rankings, and attempt counts may be stored and displayed so that leaderboards and sync features work. This data may be associated with a device or user identifier only to provide these features; we do not use it to identify you in the real world unless you contact us (e.g. via the contact form) and provide identifying details.
  • Gameplay and sync data: To provide quiz sync and scoring, we process data such as which quizzes you play, your answers, and attempt counts. This is necessary to run the Services.
  • Device and app information: We may receive technical information (e.g. app version, platform, language) to support compatibility and troubleshooting. We do not use this for advertising or profiling.

We do not perform tracking across apps or websites for advertising purposes.

2.3 Microphone and audio (mobile app)

The QuizMasterSync app may use your device's microphone to detect audio from the quiz video (e.g. from your TV or computer) so that the app can synchronise with the correct position in the video. Microphone access is requested through your device's permission system (iOS or Android). Audio is processed locally on your device for this purpose. We do not store or transmit your microphone input or any recorded audio. The audio is used only in real time to match the video position and is then discarded.

3. How we use your data

We use the data described above to:

  • Provide and operate the Services (quizzes, sync, leaderboards).
  • Respond to your support and contact requests.
  • Improve our Services and the website (including, where you have consented, via analytics).
  • Comply with legal obligations and protect our rights where necessary.

We do not use your data for automated decision-making or profiling that has legal or similarly significant effects on you.

4. Legal basis (GDPR)

Where the GDPR applies:

  • Consent: We use your consent for optional cookies and analytics, and where we have asked for your consent for other specific processing (e.g. microphone access when required by the platform).
  • Contract: Processing necessary to provide the Services (e.g. leaderboards, sync, support) is based on performing our contract with you.
  • Legitimate interests: We may rely on legitimate interests for operations such as security, fraud prevention, and improving our Services, where those interests are not overridden by your rights.

5. Sharing and disclosure

We do not sell your personal data. We may share data only:

  • With service providers that help us run the Services (e.g. hosting, email delivery, analytics when consented), under strict confidentiality and data-processing terms.
  • When required by law or to protect our or others' rights, safety, or property.

6. Data retention

We keep your data only as long as needed for the purposes described in this policy:

  • Contact form submissions: For as long as needed to handle your enquiry and any follow-up, then deleted or anonymised.
  • Leaderboard and gameplay data: We keep this data while you use the Services and the Services are offered. You may request deletion of your data at any time (see "Your rights" below). We will delete or anonymise it upon request within the period required by law.
  • Cookie/consent preference: For the period we indicate in the banner (e.g. 12 months), or until you change your choice.
  • Analytics data: In anonymised form, according to the analytics provider's retention; we do not retain identifiable analytics data longer than necessary.

7. Your rights

Depending on your location, you may have the right to:

  • Access the personal data we hold about you.
  • Rectification of inaccurate data.
  • Erasure ("right to be forgotten") in certain circumstances.
  • Restriction of processing in certain circumstances.
  • Data portability (receive your data in a structured, machine-readable format).
  • Object to processing based on legitimate interests.
  • Withdraw consent where processing is based on consent (e.g. analytics, optional cookies).
  • Lodge a complaint with a supervisory authority (e.g. in your country of residence in the EU/EEA).

8. Children's privacy

Our Services are not directed at children under 13 (or the applicable age in your country). We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.

9. International transfers

Your data may be processed in countries outside your residence, including countries that may not provide the same level of data protection. Where we transfer data from the EEA, we use appropriate safeguards (e.g. standard contractual clauses or adequacy decisions) as required by law.

10. Security

We take reasonable technical and organisational measures to protect your data against unauthorised access, loss, or alteration. No method of transmission or storage is completely secure; we encourage you to use a strong device passcode and keep your account details safe.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and, for material changes, we may notify you in the app or by email where appropriate. The "Last updated" date at the top indicates when the policy was last revised. Continued use of the Services after changes constitutes acceptance of the updated policy.
